Follow the steps
for an easy-peasy process

Be prepared before you begin...
Due March 15th

This form could take 20-30 minutes to complete. 

​

  • Have medical information available (allergies, medications)

  • In this section you will also upload the student passport and immunization records.. have them on hand and ready to upload. The immunization records are not required, however, they are helpful in emergency situations.

  • There is a code of conduct agreement that one parent/guardian must sign in addition to the student.  Please make sure your student is present.

Step 2.
Finances

Setting up your payment plan is due

prior to March 15th 

 

  • If you paid for your trip in full, please make sure you added extra volunteer T-shirts if you need them.  This year instead of having parents send donated items, we are asking for a $100 donation to provide food, clothing, shoes and coats to Kahama village. While not required, it is so gratifying giving needed items to the struggling village.

  • If you paid your deposit, please work with staff to find the right payment plan for you. Payment in full is due prior to June 15th.

  • A second payment needs to be made prior to scheduling flights in April. 

  • If you have not decided on an excursion, it can be added on in Tanzania

Step 3.
Student Interview

Student interviews will be conducted

between March ​1st - April 5th

​

  • The student interview is an important step in the process.  Paulina, the CEO conducts all of the interviews and will schedule the one hour Zoom meeting with the student and at least one parent or guardian.  A student ambassador may also join the call.

  • When scheduling the meeting, you will be given a few things to prepare for. Please make sure you go over the trip rules prior to the meeting.   Put time and thought into the process prior to the call. Have questions ready.

  • If you cannot make the scheduled meeting, please notify us right away.  Please DO NOT no-show on the interview.

  • Do  not let the term "interview" scare you. This is a great opportunity to get to know one another prior to the trip and it allows us to lay out the trip expectations and for you to get your questions answered.

Step 4.
Packing List

 

Don't wait until the last minute
We recommend completing this prior to May 1st

  • You can find the packing list under the FAQ section of the website. 

  • Check it over, make sure you pack just enough but don't over pack.

  • Once you have all of the items you need for the trip, make sure you do a dry run to make sure you are under weight and you can fit all of your necessities.

  • Students can bring one carry on and can check 2 suitcases. However, we ask all of your personal items fit in one suitcase and reserve the 2nd suitcase for donation items to bring to Tanzania.​

Step 5.
Meet & Greet                Donations

​This is the good stuff

Meet & Greets are mandatory - held between April 25th-May 25th

​

  • The meet and greets are a perfect opportunity for us to get to know one another prior to the trip. This is a mandatory event for the student and parents to attend.

  • Meet and greet date, locations and times will be confirmed by April 15th

  • Locations are held in the Seattle Metro area, Phoenix Metro and in one of the following Metros in Texas (Dallas, Houston or Austin)

  • These events are approximately 6 hours long, so make sure to put this event in your calendar.

  • During the meet & greet students will bring one empty suitcase to be filled with donation items going to Tanzania.

Step 6 & 7.
Trip planning 
See you at the airport 

Trip planning due 3 days prior to departure

​

  • Staff, parents and students will attend this Zoom meeting

  • During this time, we will settle plans for our travel day, such as time and location

  • We will go through the checklist of things needed for the trip

 

At the airport â€‹

  •  At least one parent or guardian will need to be at the airport all the way through check-in

  • Once everyone has been checked in, we will split into small groups and head to security - a ton of photos along with bittersweet goodbyes will happen at that moment.

Step 8.
Communication

WhatsApp
​​
  • We will be communicating primarily through WhatsApp on the trip. It is a free application and allows us to send videos, pictures, make voice and video calls.

  • We will create parent and student group chats prior to the trip and will begin communicating that way.

  • While in Tanzania we send daily updates on student activities and you will probably receive way too many photos, but it is a nice way to stay active in your students experience.

  • If you have any other family members that would like to join the group chat, they can be added to the group chat.  I would like to have all contacts added by the Meet & Greets.

  • Download WhatsApp and send me a message when it's done.
